Marketing Assistant Job

The Marketing Assistant will help keep our sales pipeline healthy and organize, produce, and implement content based on our established direction and ideas. This is a part time contract position that has potential to become a full time salaried position if revenue increases due to our marketing efforts.

A Day in the Life

The Marketing Assistant will work remotely for about ten to twenty hours a week. You will work closely with Arianne, Aeolidia’s founder, to implement the marketing strategy and free her time to work on the business rather than in it. 

You will check in with potential clients over email daily, to move them through our sales funnel. You will organize and implement our post-project flow, to get feedback from clients and perhaps help them move on to retainer work.

You will help book Arianne’s schedule with online and in-person events, coordinating topics and sending details to organizers. Our Team Assistant will help you with scheduling tasks and travel details.

You will maintain and improve our marketing funnel, assisting with the newsletter, blog, and collaborations with networking partners.

We have a backlog of nearly endless ideas for content, and you will be responsible for organizing, scheduling, and getting in touch with collaborators to turn this into blog posts, portfolio case studies, and social media posts.

Tasks may include:

Sales funnel

  • Reviewing all new leads and nurturing them over email to schedule initial sales calls
  • Following up with clients over email post-project to get feedback, testimonials, and retainer calls scheduled
  • Refining, organizing, and creating SOPs for sales & marketing work

Networking & Events

  • Organizing our networking list and continuing outreach
  • Reaching out to networking colleagues with co-marketing ideas
  • Coordinating with networking partners to pitch and manage events
  • Managing Arianne’s events & appearances calendar
  • Researching new events, companies, and ideas as requested
  • Gathering exhibitor and buyer info for trade shows and conferences
  • Admin tasks to set up webinars and other events
  • Creating and adjusting slides for webinars

Content Marketing

  • Preparing and scheduling newsletters
  • Cleaning our mailing list
  • Pulling lists of clients from our CRM and email provider to send email campaigns to
  • Organizing content ideas and creating an editorial calendar
  • Overseeing content calendar and enlisting our team to write & publish blog posts
  • Repurposing existing content across channels
  • Implementing identified SEO improvements
  • Adding new portfolio posts, tools, resources, and webinars to our site
  • Light social media posting and followups
  • Checking marketing stats for trends
  • Preparing images and copy for posts and ads
  • Creating clips from videos to use in marketing
  • Managing and creating new content upgrades: forms, landing pages, tags, email delivery
  • Managing paid ads

You Might Be a Great Fit If

  • You’re a skilled copywriter, trained in best practices to write content that sells.
  • You’re very good at writing friendly, helpful, and persuasive emails.
  • You are detail-oriented and will keep names, businesses, and facts straight when emailing dozens of people daily.
  • You intuitively know how to modify a form letter for each situation, person, and business so it feels like a personal email.
  • You are comfortable learning new software and getting software and apps to integrate and automate tasks.
  • You have some graphic design know-how, enough to work with our design templates and guidelines to create social media graphics and website graphics.
  • You’re great at organizing lists, plans, and half-written articles and prioritizing what to publish first.
  • You can easily manage a written content schedule, a social media content schedule, and a schedule for online and in-person events.
  • You’re a skilled networker who excels at warm, personalized email outreach that doesn’t look like spam to the recipient.
  • You’re great at following up, making sure no balls are dropped when relying on others for collaborations and pieces of the content you’re putting together.
  • You can take in a lot of information and prioritize it based on goals and resources.
  • You’re comfortable receiving and following instructions, collaborating with a multi-faceted team, and doing your part to ensure every project is completed on time.
  • You can receive constructive feedback with grace and humility, and always look to improve your work.
  • Instead of passively waiting for instructions, you proactively reach out to ensure your work is effective and meets the current needs.
  • You’re not someone who settles for the status quo. You continuously look for ways to improve and streamline the company’s processes.
  • You’re focused, diligent, and you make a point not to let important things or smaller details slip through the cracks.
  • You’re not easily distracted by notifications, Slack, and email; you prioritize proactive work over reactive work and can carve out clear time to focus on projects.
  • You’re an excellent communicator – clear, concise, and consistent in your approach.
  • You’re energized by being part of a team and enthusiastic about supporting our existing proven processes.
  • You can commit to working about 10-20 hours per week, and are interested in increasing up to 32 hours per week.
  • You have a reliable internet connection.

Bonus Points

Nothing below is required. But if you have any of the experience below, I’d love to hear about it!

  • Familiarity with ecommerce, retail, and Shopify.
  • Familiarity with WordPress, Hubspot, Kit, ClickUp, Notion, and Zapier.
  • You know a bit of HTML and CSS, for making tweaks to our site using BeaverBuilder, or for stripping out unnecessary code from submitted blog posts.
  • Certification from a marketing or copywriting course, such as Growclass.
  • Experience with search and social media advertising.
  • Experience analyzing website and email stats and using insights to drive marketing campaigns.
  • Can put together quick engaging video content for social media.
  • You’ve worked with and supported creative small businesses.

The hourly rate for this role will be based upon your experience and skillset, and will fall between $25 and $40 hourly.
